Four taps between dispatch and payroll

No fingerprint readers, no wall-mounted machines, no separate timesheet. The work creates the record, and the record becomes the report.

Short answer

A field employee opens Trackrr at the client’s location and taps once. The app captures a live selfie, reads GPS coordinates, and records a server-side timestamp — all in the same action. At the end of the job they tap check-out, which closes the visit and calculates time on site.

Administrators see this happening live on a dashboard, and at month end export it as attendance, visit and activity reports for payroll.

The four steps in detail

1. Assign the day

From the dashboard you create visits and assign them to employees with a client site and a time slot. Each person opens the app and sees their day already laid out — which client, which address, what the job is. Nothing needs to be dictated over a phone call at 8 AM.

If a job needs to move, reassign it and the change appears on the technician’s phone immediately.

2. Check in with a selfie

At the client’s location the employee taps check-in. The camera opens live inside the app — gallery uploads are blocked — and the moment the selfie is captured, Trackrr also reads the device’s GPS coordinates and records the time on our servers rather than trusting the phone’s clock.

The location is compared against the registered site. A check-in from outside the allowed radius still gets recorded, but it is flagged for your review rather than quietly accepted.

3. Work gets tracked

Time on site accumulates from the check-in. On the dashboard you see who is currently at which client and for how long. Nobody has to send a “reached” message, and nobody has to ask for one.

If a scheduled visit has no check-in by its start time, that shows up as an exception while there is still time to do something about it.

4. Check out and report

Check-out closes the visit and fixes its duration. It can trigger a WhatsApp notification to the customer and a short feedback request, so the rating attaches to that specific visit and technician.

Everything flows into attendance, visit and activity reports, exportable to Excel or CSV for any date range — which is the file payroll actually wants.

What gets recorded on every visit

  • A live selfie taken at check-in, and optionally at check-out
  • GPS coordinates with accuracy, at both ends of the visit
  • Server-side timestamps that a device clock cannot influence
  • The client site the visit belongs to, and the distance from it
  • Total time on site, calculated rather than entered
  • Any notes or photos the employee attaches
  • Customer feedback, where enabled

What Trackrr needs to work

A smartphone running Android 8 or later, or iOS 13 or later, with the camera and location permissions granted, and a working mobile data connection at the moment of check-in. The record is written to our servers as it is captured, which is what makes the timestamp trustworthy — but it does mean connectivity is required at that moment.

An ordinary 4G signal is more than enough; the upload is small. Sites with genuinely no coverage — deep basements, remote installations well outside a network footprint — are a real constraint, and worth checking against your own site list before you roll out.

How it works in practice

No. Location is captured at check-in and check-out, and optionally at each job update — not continuously in the background. Staff can see exactly what was recorded about them, which is usually what turns scepticism into acceptance in the first week.

Yes. Trackrr needs a working data connection at the moment of check-in, because the selfie, coordinates and timestamp are recorded on our servers as they are captured. A normal 4G signal is plenty — it is a small upload. Sites with genuinely no coverage, such as deep basements or remote installations, are a real limitation and we would rather tell you that upfront than have you discover it in week one.

No. The camera opens live inside the app — gallery uploads are blocked — and location is stamped by the device's GPS at that instant and validated against the client's registered site. A check-in outside the allowed radius is flagged for your review rather than silently accepted.

Most teams are live the same day. Add your employees and client sites, share the app link, and the first check-ins usually happen within a couple of hours. Field staff need about five minutes of training — the app is one screen and one button.
